Who we are

PVTL Stays is a trading name of PVTL Property Ltd (company no. 16324456), registered in England & Wales. Registered office: 54 Sun Street, Waltham Abbey, EN9 1EJ. We are registered with the Information Commissioner's Office (ICO) as PVTL PROPERTY LTD, registration reference ZB947143. We are the data controller for the personal data described below.

What personal data we collect and why

Enquiries. If you contact us by phone, WhatsApp, email or a website form, we collect your name, contact details and what you tell us about your accommodation or property needs. We use it to respond and to provide a quote or discuss a management arrangement. Lawful basis: our legitimate interests in running our business, or taking steps at your request before entering a contract.

Bookings and stays. When you or your employer book a stay, we collect guest names, contact details, dates, and payment details needed to take payment. Bookings made direct run through our property management system (Uplisting and its BookedDirectly booking engine) and card payments are processed by Stripe. Bookings from Airbnb or Booking.com are shared with us by those platforms. Lawful basis: performance of a contract, and legal obligations such as accounting and tax records.

Marketing contact. We may keep guest and enquiry details in our CRM (FoundationsAI) so we can follow up on an enquiry or tell previous guests about availability. You can ask us to stop at any time. Lawful basis: legitimate interests, or consent where required.

Website visitors. If you accept optional cookies, we collect information about how you use the site (see below). We do not collect this data if you reject cookies.

Who we share it with

We share data only with the services needed to run the business: Uplisting (bookings), Stripe (payments), FoundationsAI (CRM and email), our accountants, cleaning and maintenance contractors where needed for a stay, and Airbnb and Booking.com for bookings made through them. We do not sell personal data. Some of these providers are based outside the UK; where that applies we rely on appropriate safeguards such as the UK International Data Transfer Agreement or addendum.

How long we keep it

Booking and financial records are kept for six years for tax and accounting purposes. Enquiry and marketing records are kept until you ask us to delete them or they are no longer useful, which we review at least every two years.

Cookies

Essential site functions do not need cookies. We only set the optional cookies below if you click Accept on our cookie banner. If you reject, they are not set and the tracking scripts are not loaded.

Google Analytics 4 (cookies such as _ga and _ga_*): measures how visitors use the site so we can improve it.
Meta Pixel (cookies such as _fbp): measures the effectiveness of our Facebook and Instagram advertising and lets us show relevant ads to people who have visited the site.

Our reviews section is provided by Elfsight, which loads reviews from Google, Airbnb and Booking.com, and our pages use Google Fonts. These providers may receive your IP address when the content loads.

You can change your choice at any time: Cookie settings. You can also clear cookies in your browser.

Your rights

You can ask to see the personal data we hold about you, have it corrected or deleted, restrict or object to how we use it, or have it provided to you in a portable format. Where we rely on consent you can withdraw it at any time. To exercise any right, contact us using the details above.

If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

Changes

We may update this policy and will change the date at the top when we do.
