1. Bills Included — and Confirmed in Writing
The headline rate is rarely the total cost. Utility bills, broadband, parking, linen changes, cleaning — these can add substantially to the invoice that lands on your finance team's desk.

3. Space Designed for Long Stays, Not Overnight Visits
There is a significant difference between a property designed for two-night leisure stays and one that works for a contractor team on a six-week placement.
Long-stay contractors need a proper kitchen to prepare meals, a dining area where the team can eat together, reliable broadband fast enough for remote working, and enough storage space to actually unpack. A hotel room, however comfortable, does not meet those needs after the first week.
Ask to see photos of the kitchen and living space — not just the bedroom. Ask about broadband speeds. Ask whether there is outdoor space or additional indoor space for downtime.
4. Location Relative to the Project Site
“Central Bedford” means different things depending on where your project is. A property in the town centre might be 40 minutes from a rural infrastructure site. A property outside the centre might be a five-minute drive from the site and ten minutes from a supermarket.
Give your accommodation provider the postcode of the project site and ask them to map the commute. A good operator will do this without being asked. A less experienced one will sell you on the town centre location without mentioning the commute.
5. Parking
Street vs driveway, free vs paid, on-site vs off-site, secure vs not. Be clear on what you need and ask for photos or videos of the parking areas. You can't go wrong with driveway parking, and it's worth paying a premium for it — secure gated parking is a step up and real peace of mind.

6. Professional Management and a Single Point of Contact

Ask who your point of contact will be. Ask what the response time commitment is for maintenance issues. Ask whether the property is managed directly or through a third party.

7. Corporate Billing and Invoicing

Confirm before booking: can the provider issue proper VAT invoices? Do they offer monthly consolidated billing for longer stays? Can they accommodate a purchase order number? These are not complicated requirements — if a provider cannot meet them, they are not set up for corporate clients.
8. References and Track Record
Ask for references from other corporate clients. A provider who regularly places contractor teams will be able to supply them without hesitation. Check Google reviews — not just the score, but the content. Are there reviews from corporate clients? Do they mention reliability, cleanliness, and responsiveness?
